Ensure that you have read the previous information in this section regarding what will and will not import.
If you are not sure of a step or have a question, please post a question on the AyaNova Support Forum prior to performing the import.
| 1. | Prepare the AyaNova CE 1.9.4.4 database |
| a. | Ensure all AyaNova CE users are out and stay out |
| b. | Ensure no other program accesses the AyaNova CE 1.9.4.4 database, including ARAS or QBI |
| c. | Log into AyaNova CE 1.9.4.4 on the same computer where the database resides as the manager account. |
| d. | If you do not know the manager login name and password, you must obtain this as it is needed for the import |
| e. | If do not know the manager username and password, log into AyaNova as another username that has access to Users & Rights, and edit the manager account login name and password so it is known – than log in as that manager account. |
| f. | Confirm that the version of AyaNova CE is 1.9.4.4 with database version of 171 by selecting menu Help -> About this program from within the AyaNova CE program |
| i. | If not, update to the latest AyaNova CE 1.9.4.4 as per the AyaNova web site and forum. |
| ii. | IF you have any questions on updating or experiencing an issue updating, please provide the following: |
| iii. | Detailed Info from AyaNova – select menu Help -> Select About this program -> click on Detailed Info -> copy all information to a NotePad document. |
| iv. | Your registered company name |
| g. | Perform the Database Utilities feature Re-index Everything |
| i. | It has always been recommended to perform this on the same computer where the database resides |
| ii. | This may be intensive and take time – let it finish |
| h. | Exit out of AyaNova CE 1.9.4.4 |
| i. | If needed, move the AyaNova CE 1.9.4.4 database file SCDATA.SC to the same local C:\ of the computer where the AyaNova v3 database resides |
| a. | Confirm a successful installation of AyaNova v3 program and database to the local hard drive |
| i. | You can import into AyaNova v3 in any of its three configurations – the default installation, the network Firebird configuration or the SQL Server configuration. |
| b. | Apply the AyaNova v3 license activation keycode as per the instructions with your keycode. |
| c. | Log in as manager with password letmein |
| d. | Create Tax Codes for your environment |
| e. | Edit Part Warehouses if needed – one is the default warehouse and can only have its name edited. |
| f. | Edit Regions if needed – one is the default region and can only have its name edited. |
| g. | Configure Global Settings if needed |
| i. | Note that service workorders imported will use the same workorder numbers as AyaNova 1.9.4.4 so setting a number here will not affect existing workorder numbers |
| ii. | Set default tax codes settings |
| iii. | What Tax Codes are set up as defaults will apply to all imported parts and rates in imported service workorders. |
| iv. | Set Part Display Format |
| v. | Set Unit Display Format |
| vi. | Set Use Inventory to True |
| vii. | Set Use Regions to True |
| viii. | Set your Language Settings |
| 3. | Install the AyaNova CE Import |
| b. | Install the utility to this computers local hard drive – note the location installed to (default is C:\Program Files\Ground Zero Tech-Works Inc\CEImport |
| i. | If had installed AyaNova v3 using the default installation: |
| 1. | Open Windows Explorer and move to the AyaNova 3 folder |
| 2. | Copy the AyaNova.exe.config file |
| 3. | Paste into the CEImport folder |
| 4. | Rename the AyaNova.exe.config file in CEImport folder to AyaImport.exe.config |
| 5. | Edit the AyaImport.exe.config file using NotePad - do not use any other program to edit this file - so that the full path to the AyaNova database is identified: |
"ServerType=1;DataBase=C:\Program Files\Ground Zero Tech-Works Inc\AyaNova 3\AYANOVA.FDB;Dialect=3;"
Note:
Database= is the exact full path of the present location of the AyaNova v3 database
| 6. | Confirm that the Database= is the exact full path of the location of the installed AYANOVA.FDB file |
| 7. | Save and close the file |
| 8. | Continue to Step 4 Perform the AyaNova CE Import |
| ii. | If have configured AyaNova v3 to use the network Firebird configuration, or SQL Express configuration or SQL Server configuration: |
| 1. | Open Windows Explorer and move to the AyaNova 3 program folder |
| 2. | Copy the AyaNova.exe.config file |
| 3. | Paste into the CEImport folder |
| 4. | Rename the AyaNova.exe.config file in the CEImport folder to AyaImport.exe.config |
| 5. | Continue to Step 4 Perform the AyaNova CE Import |
| 4. | Perform the AyaNova CE Import |
| a. | You are logged into the computer with full access |
| b. | You are not performing this via remote access |
| c. | AyaNova v3 program, database, and import utility are all installed on the local hard drive |
| d. | The AyaNova CE 1.9.4.4 database file SCDATA.SC is also on this local C:\ |
| e. | No programs are running |
| f. | Anti-virus program is shut down |
| g. | Open Start -> Programs and select AyaNova CE Import Utility or open Windows Explorer, move to the CEImport installation folder, and double-click on the AyaImport.exe program executable. |
| h. | Be sure to read all messages thoroughly before continuing and comply before continuing. |
| i. | Select <Choose Database…> |

| j. | Select <Browse manually for source database> |

| k. | Move to the location of the AyaNova CE 1.9.4.4 database located on the C:\ of this computer |


| l. | Select the button Import and review each message before proceeding |

| m. | A screen depicting both the AyaNova CE 1.9.4.4 login and the AyaNova v3 login displays |

| n. | You must log in using the AyaNova CE 1.9.4.4 manager account – attempting to use any other account will result in issues |
| o. | The AyaNova v3 AyaNova Administrator account login name “manager” and password “letmein” are pre-entered as only the AyaNova Administrator can be logged in |
| p. | Select the Login button, and the import begins. |

| i. | The amount of time to perform the import may vary from 30 seconds to hours depending on different aspects: |
| 1. | The speed and memory of the computer that is performing the import |
| 2. | The number of records in the AyaNova CE 1.9.4.4 database |
| 3. | The type of these records (parts records will import faster than workorder records) |
| 4. | The computer where the import is being performed should not be used for other functions while the import is occurring so that all its processing can go to the import |
| 5. | This is incredibly intensive for the computer – do NOT run any other programs while this is performing |
| q. | Once you start seeing progress bars, you know the import has started. |
| r. | If you don’t see the progress bars within 2 minutes – stop the utility and restart it. |
| s. | If after the progress bars start displaying, if at any time it does not seem to be doing anything – it is NOT frozen – the import utility is chugging away – please let it finish. |
| t. | If the import utility experiences an issue, it will display so. Refer to the section “Importing Issues” if you receive an error. |
| u. | The import utility will display IMPORT COMPLETED when it is finished. |
| v. | Select OK to close (make sure to close before proceeding) |
| 5. | Log into AyaNova v3 as “manager” with password “letmein” |
| a. | Any previous usernames and passwords will not have been imported as per the information regarding what does and does not import. |
| b. | Confirm imported data is correct and complete |
| c. | Re-enter all users’ login names and passwords, and set schedulable users as active and of user type Schedulable User |
| d. | Check security groups and edit as needed |
| e. | Edit PM items as needed |
| f. | If utilizing full inventory, enter Part Adjustments as needed for starting inventory. |
