What is the difference between AyaNova Lite licensing and the full AyaNova service work order program licensing?
AyaNova Lite work order program is for a single user on a stand-alone computer with a single AyaNova Lite database, so therefore only one AyaNova Lite user license would be purchased.
Whereas the full AyaNova service management program has many more features and can be run on one computer only or fully networked so that multiple networked computers can all run the AyaNova program at the same time connecting to the same database; and multiple users can be scheduled /dispatched / assigned to work orders. The number of AyaNova user licenses purchased would be the same number of schedulable users you will be scheduling and assigning to work orders in AyaNova
How does user licensing for AyaNova work?
Most software requires that you purchase a license for every person that uses the software. With AyaNova, you only need to purchase licenses for the number of schedulable users (i.e. the number of technicians you have, the number of engineers you have, the number of whoever or whatever you are scheduling) that you will be scheduling and tracking with AyaNova.
An unlimited number of users in the AyaNova program can view and enter data, but only users that are set as a Schedulable user and checkmarked Active "use up" a license from the total you purchased and can be scheduled in a service workorder and show in the graphical Schedule screen.
If one of your schedulable people leave, you can "free up" their license by unchecking the Active field so can create a new schedulable user, but still maintain a complete history of service provided by that original scheduleable user.
For companies that employ sub-contractors, you could determine a time period that jobs are scheduled for. Than determine the number of contractors employed in this time - and that would be the number of licenses to purchase.
For example, if you book no farther than two months ahead: determine what the total number of different techs you had scheduled over the course of the busiest consecutive two months if you book no farther than two months ahead and that will be the number of schedulable user licenses to purchase.
Or you could purchase licenses based on the different types of jobs. For example if you were a general contractor for building homes, you would purchase as many licenses as there are different jobs - one license to schedule and track electricians, one license to schedule and track plumbers, one license to schedule general carpenters, one license to schedule specialized carpenters, etc etc.
AyaNova software licenses are perpetual. This means that you pay for them only once and can use them for as long as you like. There are no recurring charges for these licenses.
How does licensing for the optional add-ons and plug-ins work?
You only need to purchase one optional add-on license for your AyaNova or AyaNova Lite database regardless of how many people will use that optional add-on with your AyaNova (or AyaNova Lite) database.
For example: if you have multiple remote field service technicians that need to be able to access their work orders and schedules while out on the road, you only need to purchase one WBI (web browser interface) optional add-on license for your AyaNova database so that these technicians can access live data while out on the road.
Purchase examples
- Tom provides maintenance for apartments in a building
- He wants to schedule himself and keep a history of service he has provided to each apartment
- Tom purchases one AyaNova Lite user license at $49.00
- And if down the road, he wants to expand his service to include additional management such as preventive maintenance he can upgrade his AyaNova Lite license to the full service management AyaNova user license for only $169.00
- Bob repairs computers
- Fran, his wife, answers the phone and takes requests for support calls and sets Bob's schedule
- They have two computers networked together, one for Bob and one for Fran and need software that will allow both of them to enter data, and view data at the same time. Only Bob is scheduled in workorders
- Only one AyaNova schedulable user license at $199.00 would need to be purchased, as only Bob would ever be scheduled. This is regardless of the fact that there will be two users logging in at the same time, viewing data and entering data
- Mighty Medical Equipment sells and services medical equipment
- Sales needs to be able to view existing data on service for clients
- Dispatching needs to be able to enter and view data to schedule the technicians
- Management wants to be able to view data and obtain reports
- Shipping and receiving wants to be able to enter purchase orders for parts requested on workorders, receive into inventory and automatically alert the scheduled user
- 15 technicians need to be able to check their schedule, be notified of upcoming events, enter details of service provided and more while on the road and when in the office

Can I purchase additional licenses when needed in the future as my business grows?
Of course! You can always purchase additional user licenses and/or additional optional add-ons and plug-ins at any time via the same process as your original license purchase.
When your additional license purchases are processed, a replacement license key will be sent to you that will include your original number of licenses purchased plus the new licenses just purchased with instructions to enter via your AyaNova work order program.
What about volume discounts for the full AyaNova user licenses?
Volume discount pricing will be applied automatically based on the number of AyaNova schedulable user licenses ordered at the time of purchase:
- 1 to 4 licenses at time of purchase are $199.00 each
- 5 to 9 licenses at time of purchase are $189.00 each
- 10 to 24 licenses at time of purchase are $179.00 each
- 25 to 49 licenses at time of purchase are $169.00 each
- 50 to 74 licenses at time of purchase are $159.00 each
- 75 to 99 licenses at time of purchase are $149.00 each
- 100 or more licenses at time of purchase are $139.00 each
What if I need separate multiple databases?
Our license agreement permits only one database file per unique activation key. What this means is that you are not permitted to apply your key to more than one AyaNova database.
If you have more than one AyaNova database (i.e. each division of your company wants to have a separate AyaNova database) you will need to purchase licenses for each database separately.
When purchasing license keys for an additional separate database make sure you specify a different registration name than your other purchases or it will be applied to the original license. For example if you have two offices you might specify a different name like this: "SNOW inc. - U.S.", "SNOW - Canada". If you have any questions, please contact us.

What about customizations?
Report Templates - customizations and support for report template design is considered outside of the regular AyaNova support. A charge to provide report template support may occur. We provide many example report templates with the installed AyaNova program, as well as additional examples and details on the AyaNova Support Forum, as well as the tutorials in the AyaNova Online Help on report template design. If you would like a custom report template designed, or a specific aspect of an existing report template changed, please refer to the AyaNova Support Forum topic on custom report template design for what to send us so that we can provide you with a quote. Minimum charge of US$55.00 with total cost depending on what is involved.
Program customizations - Although we do not customize the AyaNova program itself for individual companies, if interested in a custom plug-in or add-on for AyaNova, just contact us at support@ayanova.com and let us know what you are looking for and what you need it for. We might already have the feature in AyaNova; or can provide you with a quote to develop a custom plug-in if possible; or put your suggestion on our Wish List as a possible future feature.
We are always interested in hearing suggestions for new features and how you would use. AyaNova has grown over the years due to suggestions from you! Post your suggestions in our Wish List on our AyaNova Support Forum.
Note that the AyaNova interface text is fully customizable out of the box as a built in feature to support industry specific terminology or alternative languages. And you can also add custom fields to many of the entry screens.

What about upgrades?
Maintenance updates within the same version (this includes minor feature updates and maintenance updates within the version number for example upgrade your 6.0 to 6.1...) are available at no charge with steps to update on our AyaNova Support Forum.
Major version upgrades are available at a discounted price depending on the version upgrading from - for example:
- Existing AyaNova 4.2 scheduleable user licenses can be upgraded to the latest AyaNova 6.0 at 50% off the regular license price
- WBI 4.2 can be upgraded to the latest WBI 6.0 at 50% off the regular license price
- QBI 4.2 can be upgraded to the latest QBI 6.0 at 50% off the regular license price
- PTI 4.2 will be upgraded to 6.0 at no charge
- MBI 4.2 will be upgraded to 6.0 at no charge
Try before you buy
We offer a 30 day temporary key for AyaNova and its optional add-ons, and a 30 day temporary key for AyaNova Lite and its optional add-ons so that our software can be fully tried out before purchase, as well as any questions answered. This allows all prospective buyers to evaluate the product at their leisure to ensure that the software meets their needs before purchasing and to answer any questions before purchase.
Software licenses purchased are considered opened at the time of purchase and not refundable.
Am I sent new software when I purchase?
No. Once your payment is processed, you will be sent via email an Activation Key.
This Activation Key will include instructions and the keycode that will activate the AyaNova database that you have already installed and tried out for the licenses you have purchased
You do not have to install any new software nor make any new configurations
The Activation Key will have an Install By date which will be midnight seven days from date of purchase - for example, if you purchased October 5th, the Install By date will be midnight October 11th (October 12 12:00AM). The key must be applied before this date. Request for re-issue of a keycode may require an Administration Fee of US$35.00 to cover re-processing fees
Once a keycode is applied, it does not need to ever be re-applied.
In the event of a need to re-install, you would restore the database from backup which would restore your data as well as the license. Please refer to the AyaNova Help section on backup and restoration; or contact us if any questions.
What about discounts for non-profit organizations?
We make every effort to keep our price per license as low as possible so that AyaNova can be affordable to organizations and business of all sizes. Our unique licensing program means that AyaNova is just as affordable for a small business as a larger organization.
If your organization is a registered charitable organization we can provide discounted pricing of up to 50% off our regular affordable license pricing.
Contact us with your official government issued proof of charitable status for details, as well as include your web site. Charitable organizations do not include schools, other education facilities, nor other government funded facilities.
Can I be a reseller for AyaNova?
Many service companies that use AyaNova themselves promote AyaNova and offer AyaNova related services such as provding installation and configuration, on-site training, custom report design, hosting, third party add-on development and other AyaNova related services.
