Service Workorder Entry Screen

Note: WBI will only save edited data when you tell it to.  This is unavoidable due to the nature of web technology.  If you close the browser window in any other way than using the menu buttons your changes will be lost.

Creating a new workorder:

A new service workorder is created via the New... menu option in the Service navigation pane

New

Just like with the AyaNova program, the client selection first appears. Use the scroll bar on the right to scroll down and select the client that service is to be provided for.

New2

Click the OK button to accept selection of this client

New3

The service workorder for this client will now display where you can enter in additional information.

As with all new records or editing existing records - remember - you must save the record, otherwise the AyaNova database is not updated with the new or edited workorder record, and anything typed in would be lost.

You can not create a new client via this client selection screen. If the client is not listed here, cancel, open Client's grid and create a new client

Service Completed and the Closed: checkbox fields

Starting with version 3.4.2.0, you must first check-mark Service Completed if you want to check-mark the Closed checkbox in a workorder entry screen via WBI

The Closed checkbox will display gray until Service Completed is check-marked

If the security group your AyaNova username belongs to does not have Read/Write or read/Write/Delete rights to the Object.Workorder.Close , than even with Service Completed check-marked, Closed field will remain grayed.

Workorder Item:

Refer to the Help topics Adding New Records in a SubGrid and Editing Existing Records in a SubGrid for information on adding a new workorder item AddSubGridRow4 , deleting DeleteGridRecord1, editing EditGridRow1, saving any edits EditGridRow5, and selecting a workorder item SelectGridRow2.

Workorder Item Sub-Grids:

With WBI, the workorder item sub-screens such as Parts, Labor, Tasks etc are accessed by selecting the associated tab

<image of tabs identifying each tab for each type of thing - i.e scheduled users, labor, etc>

If the workorder has multiple workorder items, to be able to view the associated Labor, Parts, etc with a specific workorder item, you must first "select" the workorder item.

Refer to the Help topic Editing Existing Records in a SubGrid on using SelectGridRow2 to select a workorder item.

Once the appropriate workorder item is selected, when you select on the sub-grid tabs, the information for that workorder item will now display.

For example:

An existing workorder has two workorder items -  first workorder item does not have a unit to be serviced, whereas the second workorder item does have a unit to be serviced. When the workorder is first opened, the first workorder item is selected, as indicated  by the highlight.

In this example see that the first workorder item does not have a unit selected.

The second workorder item is selected by clicking on the SelectGridRow2 on the far left of it.

SelectWOItem2

The EditGridRow3 will display indicating the selected workorder item and it's sub-grids are being retrieved from the database

Now that the second workorder item is "selected", the sub-grids display information regarding that second workorder item. Screenshot below shows the unit that had previously been chosen to be serviced via the second workorder item

SelectWOItem3

Refer to the Help topics Adding New Records in a SubGrid and Editing Existing Records in a SubGrid for information on adding new labor, parts,  scheduled users, etc   AddSubGridRow4 , deleting DeleteGridRecord1, editing EditGridRow1, and saving any edits EditGridRow5

Units tab:

To display warranty information on a unit just selected, you must select the Save menu option so that data will be retrieved from the AyaNova database and displayed.

1. SelectUnit1

2. SelectUnit2

3. SelectUnit3

If a unit is selected within a workorder item, and this unit has Unit Metered enabled, a hyperlink will display under the unit selected where you can enter meter readings that will be tied to this workorder.
